In the case of any emergency the office can be reached on the 24 hour number. 0044(0)7887 718 838/  or 0044(0)7422 518 887. The Director will be informed in all emergency cases.

In all cases UK Tuition Guardians will liaise closely with parents, guardians and keep the Director of UK Tuition Guardians informed at all times.

Examples of emergencies are:

Travel problems due to a major incident.

It may be when a student is travelling alone that fog that closes an airport either before or while they are in transit, deeming their onward journey impossible or subject to major delays. This may be a terrorist threat that grounds aircraft or other emergency circumstances.

In these circumstances UK Tuition Guardians will liaise with any relevant authorities, parents and Host Families to secure emergency accommodation for the student and will support the student in making new travel arrangements. The priority will be to arrange for the student to be in a safe place. This will depend on which country the student is in at the time but once informed of any crisis, UK Tuition Guardians will help to make any necessary arrangements.

Death of a student

In the case of the death of a student all relevant authorities will be informed. UK Tuition Guardians will liaise with parents, Host Families, and emergency service or health services where necessary. UK Tuition Guardians will handle the situation sensitively and support the family with any necessary arrangements relating to the death such as investigations, funerals and travel or counselling.

Health pandemic.

In the case of an outbreak of an infectious disease in the first instance UK Tuition Guardians will take advice and refer to government guidelines. If there is a health pandemic at a school their own policies will be applied to the situation and UK Tuition Guardians will keep parents informed. If withdrawal from the school is requested UK Tuition Guardians will find Host Family accommodation as soon as possible. It would not be appropriate to place a student with a Host Family where there are very young, very old or vulnerable family members if a disease is contagious.

Death of a family member -either Host Family or Student family.

If the death is a Host Family member, UK Tuition Guardians will liaise with the student and the family to consider alternative arrangements for the student. UK Tuition Guardians will also keep parents informed of the situation and seek their consent if an alternative Host Family is to be found.

In the case of the death a student’s family member UK Tuition Guardians will offer support and guidance to the Host Family as well as to the student. They will communicate with all parties and support any emergency arrangements required for the student.

Arrest or detention of student

If a student is arrested or otherwise involved with the police, the Director should be informed immediately.

If the student is with a Host Family at the time it is likely that the police will deal with the Host Family direct. If this is not possible, the Director or a representative of UK Tuition Guardians will act as the responsible adult.

In the case of a student who is in school, the school should act as the responsible adult, or delegate as appropriate.

The responsible adult should attend the police station immediately and ensure that the rights of the student are protected. We will encourage the student to be helpful and honest and ensure the student understands every stage of the process, ensuring that the student has access to an interpreter as appropriate. UK Tuition Guardians will inform parents of progress and keep a written report for the student’s file.

If Legal Representation is required UK Tuition Guardians will contact parents to gain consent to arrange this.

UK Tuition Guardians recognizes that it would be impossible to cover all possible emergencies in a policy. The UK Tuition Guardians 24 hour emergency telephone contact is available to Host Families, parents and students at all times and should be used if required. All decisions and actions will be made in the best interests of the student and keeping the student safe. All relevant authorities will be consulted where appropriate and advice taken.
